Go-to-market plan · Draft v1 · October 2026
FutureDesk Spain Launch Plan
FutureDesk is an HR and operations platform for small and mid-size companies. Each client gets their own private server, pays a one-time license fee, and pays a monthly fee for maintenance. This plan covers the product, the business model, the technical work needed, and the road to a market-ready launch in Spain by February 2027.
01Summary
FutureDesk already exists and runs every day inside FutureDesh. It covers attendance, leave, work planning, projects, requisitions, salary records, announcements and more. We now want to sell it to other companies, starting in Spain.
We will not sell a shared online subscription. Each client gets their own installation on their own server. Their employee data never leaves their server, and they pay once for the software instead of paying per employee every month.

03Why Spain, and how we compete
Why Spain first
- A local partner. We have a direct connection in the Spanish market, which matters more than anything else for a first market.
- A legal reason to buy. Since 2019, every Spanish company must record each employee's daily working hours (registro de jornada), keep those records for four years, and show them to the Labour Inspectorate on request. Many small companies still do this on paper or in spreadsheets. Our attendance module already does most of this.
- Privacy-conscious buyers. GDPR makes many companies uneasy about putting employee data in someone else's cloud. Our "your own server" model answers that directly.
The competition
Spain already has strong HR software companies, including Factorial, Sesame HR and Woffu. They mostly sell online subscriptions priced per employee per month. We are not trying to beat them on features. We offer a different deal:
Typical HR subscription
- Monthly fee for every employee, forever
- Data stored on the vendor's shared cloud
- Standard product, little room for custom changes
- Price grows as the company grows
FutureDesk
- One-time license, then a flat maintenance fee
- Data on the company's own private server
- We customise the product to how the company works
- Cost stays flat as headcount grows
Your own HR system, on your own server, with Spanish time-tracking compliance built in. Pay once, not per employee.
Best-fit clients: companies with 20 to 250 employees, where a per-employee subscription becomes expensive, or which care about data control (for example healthcare, legal, finance, manufacturing), or which have processes that standard software doesn't fit.
04Business model
| Revenue line | What the client gets | Price (draft) |
|---|---|---|
| License | The full software, installed and configured on their server, initial setup of departments, users, holidays and leave rules, and admin training | ≈ $5,000 one-time |
| Maintenance | All updates and security fixes, monitoring, verified daily backups, bug fixes, and an agreed number of support hours each month | $300 / month |
| Customisation | Features built for the client's way of working, quoted per request | Quoted separately |
| Managed hosting option | We provide and run the server for clients who don't want to manage one | Server cost + margin |
At the year-one target: 20 licenses ≈ $100,000 one-time revenue. Twenty clients on maintenance ≈ $6,000 per month ($72,000 per year) in recurring revenue. Clients will sign over the year, so actual first-year income will be lower than these totals.
Rules that protect the business
- No maintenance, no updates. Clients who stop paying keep the version they have, but get no updates, fixes or support. We support only the two most recent versions.
- Custom work is paid and goes into the main product. Every customisation becomes a setting in the one shared product. We never keep a separate copy of the code for one client. This is what lets a small team maintain 20 clients.
- Maintenance has clear limits. The contract states exactly what $300 covers (updates, backups, fixes, a set number of support hours) and what it doesn't (new features).
- Prices for Spain to be set in euros. The figures above are working numbers in US dollars. The final euro pricing should reflect what the partner learns from Spanish buyers.
05How clients get it
Each client has a completely separate installation. Nothing is shared between clients.
Only technical health information (online status, version number, backup result, error reports) travels back to us, with the client's agreement in the contract. Employee data stays on the client's server.
Installation, step by step
- The client buys a Hostinger VPS in an EU data centre using our recommended plan, or we provide one under managed hosting.
- We run one install command. The full system is running on the client's own web address with HTTPS in about 15 minutes.
- We set up the company: logo, departments, users, Spanish holidays (national, regional and local), leave types and working hours.
- We train the client's admin staff, and employees receive email invitations to set their passwords.
- Monitoring and nightly backups switch on automatically.
06Making it Spain-ready
The product was built for one company in Bangladesh. These are the changes Spanish clients need.
| Area | Today | For Spain |
|---|---|---|
| Language | English only | Full Spanish (screens, emails, documents, help centre), with English kept. Catalan and other regional languages can follow if the partner sees demand. |
| Working-time records | Daily check-in and check-out with history | Compliant registro de jornada: records can't be silently changed (every correction is logged with a reason and who made it), kept for 4 years, employees can see their own records, and an inspector-ready export is one click away. Spain has been moving toward requiring digital, tamper-proof records, so the exact current rules will be confirmed with a Spanish labour advisor. |
| GDPR | Strong security, but not set up for EU rules | Export or delete an individual's data on request, data-retention settings, a privacy notice for employees, no data sent to outside services, and a data processing agreement (contrato de encargado del tratamiento) because we access the server for maintenance. |
| Salary | Full salary records with a fixed Bangladesh breakdown | Salary records, bonuses and history, plus a clean export for the company's payroll advisor (gestoría). We will not calculate Spanish payslips (Social Security, IRPF), since most SMEs already outsource that. |
| Calendar and leave | Bangladesh holidays and leave rules | Spanish national, regional and local holidays, Spanish leave types as defaults (vacation, sick leave, parental leave and so on), all editable per company. |
| Formats | Taka (৳), Dhaka time | Euro (€), Spanish date and number formats, Madrid time (Canary Islands time where needed). All configurable per client. |
| Branding | FutureDesh name and domains built in | Each client's own logo, company name and web address. |
| Right to disconnect | Notifications at any hour | Optional quiet hours for notifications, which supports Spain's digital-disconnection rules. |
07Technology changes
We are deliberately not rewriting the product. The core technology is modern and widely used. The changes are about packaging, security, compliance and maintainability.
A full rewrite of more than 40 modules would take most of a year and would delay sales without giving clients anything new. We keep what works and invest in what a paying client will notice: reliability, security, Spanish compliance, and fast, safe updates.
Current foundation (kept)
React web app (works in any modern browser, desktop or mobile) · Node.js application server · MongoDB database · live notifications over WebSockets. These are mainstream technologies used by thousands of commercial products. Developers are easy to find, and they will receive updates for years.
What changes
| Area | Today | Change | Why it matters to a client |
|---|---|---|---|
| Installation | Set up by hand for one company | Change Packaged with Docker, one-command install, automatic HTTPS | Live in minutes, and identical on every client server |
| Configuration | Company details written into the code | Change Everything client-specific becomes a setting | Their company, rules and branding without custom code |
| Language | English text inside the code | New Translation system (react-i18next), Spanish and English | Fully Spanish product, more languages later |
| File storage | External cloud service (Cloudinary) | Change Stored on the client's own server (MinIO) | Documents never leave their server (GDPR) |
| One fixed email provider (Mailtrap) | Change Any email account (Google Workspace, Microsoft 365, any SMTP) | Emails come from their own domain | |
| Scheduled tasks | Run inside the main server | Change Separate background worker with a job queue (BullMQ + Redis) | Tasks retry on failure and run at the right local time |
| Database | MongoDB, single instance | Keep MongoDB, plus safe transactions for salary data and automatic versioned upgrades | Reliable salary records, safe updates |
| Security | Solid login and sessions, some known gaps | Change Cross-site request protection, stricter permissions, more rate limits, file content checks, optional two-factor login | Passes a client's IT or security review |
| Privacy | Login locations looked up via an outside service | Change Removed, or kept local | No employee data shared with third parties |
| Backups | Not automated | New Nightly backups, copied off-server, restore tested | Data can be recovered from any failure |
| Updates | Manual | New Update agent: backup → update → health check → automatic rollback if anything fails | New features and fixes without downtime risk |
| Monitoring | None | New Error tracking (Sentry), uptime and health dashboard | We often fix problems before the client notices |
| Quality control | Manual testing | New Automated tests on critical areas, run on every change; upgrade tests before every release | Fewer bugs reach clients |
| Licensing | None | New Signed license file per client (modules, user limit, support period) | Clear entitlements, protects our product |
Planned for after launch
These improve the code for the long term but aren't needed for the first clients. We will do them gradually after February:
- Moving the code to TypeScript (fewer errors as the team grows).
- Modernising how the web app loads and caches data.
- Single sign-on with Microsoft or Google accounts, for larger clients.
- A mobile app, if clients ask for one (the web app already works on phones).
08Maintenance and support
Maintaining many separate installations is the main operational challenge of this model. This is how we keep it manageable.
One product, many servers
Every client runs the same software. Differences between clients are settings, never separate code. A fix made once reaches every client.
How an update reaches a client
- We release a new version after automated tests and upgrade tests pass, normally once a month and immediately for urgent security fixes.
- The update agent on the client's server backs up all data and files.
- It installs the new version and upgrades the database automatically.
- It runs a health check. If anything fails, it restores the previous version on its own.
- The result appears on our monitoring dashboard.
What we see centrally
For every client: online or offline, version, last backup result, disk space, and error reports. Problems trigger alerts to us, so most issues are fixed before the client reports them.
Proposed support levels (draft)
| Priority | Example | First response |
|---|---|---|
| Critical | System down, nobody can log in | Within 4 business hours |
| High | A key feature isn't working (for example check-in) | Next business day |
| Normal | Questions, minor bugs, small changes | Within 2 business days |
Our team is in Bangladesh, 4 to 5 hours ahead of Spain, so the full Spanish morning overlaps with our working day. Support should be available in Spanish, either through a team member or through the partner for first contact.
09Roadmap to February

- Company name, logo, domain, timezone, currency, work week, holidays, leave rules and salary structure all become settings.
- Modules can be switched on or off.
- File storage and email move to the client's own server and accounts.
Done when: a fresh installation can be set up for a fictional Spanish company without touching code.
- Docker packaging.
- One-command installer.
- Automatic HTTPS.
- Separate background worker.
- Nightly off-server backups.
Done when: a blank Hostinger VPS becomes a working FutureDesk in under 30 minutes.
- Close known security gaps.

What we need from you
Do they feel the pain of time-tracking compliance and per-employee pricing? Would they choose their own server? What would they pay?
By mid-NovemberFriendly SMEs willing to use FutureDesk for real in January at a reduced price, in exchange for honest feedback.
Agreed by early DecemberTo confirm the working-time and leave features meet Spanish rules, and to check the salary export suits payroll advisors.
By late NovemberRead through the Spanish screens and emails, and correct wording so it sounds natural for Spanish HR users.
During DecemberConfirm or adjust the license and maintenance prices for the Spanish market.
By end of NovemberA Spanish lawyer's review of the license agreement, maintenance agreement and GDPR data processing agreement.
By mid-January11Risks
| Risk | What we do about it |
|---|---|
| Tight timeline | Feature freeze until launch. If time runs short, cut first: extra languages beyond Spanish, low-demand modules (meals, birthdays), two-factor login. |
| One developer | Everything automated and documented (install, update, backup), so the system doesn't depend on one person's memory. Offering source-code escrow can reassure clients. |
| Too many custom requests | Custom work is paid, scheduled, and built into the main product. A clear limit on how much we take on per month. |
| Strong local competitors | Don't compete on features. Compete on ownership, privacy, flat cost and flexibility. Target firms that don't want a per-employee subscription. |
| Legal compliance | A Spanish labour advisor and lawyer review before launch. No promises on payroll calculation. |
| Client server problems | One standard, recommended server setup. Monitoring, nightly off-server backups, and automatic rollback on failed updates. |
| Cross-border invoicing | Get accounting advice on invoicing Spanish companies (VAT) before the first contract. |
12Open decisions
Questions to settle together over the next few weeks.
- Final euro pricing for the license, maintenance and customisation work.
- Should we offer managed hosting from launch, or only installation on the client's own server?
- Which Spanish regions to target first, and whether Catalan is needed early.
- Product name: check that "FutureDesk" is free to use as a brand in Spain and the EU.
- How the partner is paid: commission per license, share of maintenance, or both.
- Who handles first-line support in Spanish.
